Overview

The Medical Office Clerk provides essential clerical and administrative support for the Air Force Accession Center (AFAC) and 65 Military Entrance Processing Stations (MEPS) across the continental United States. This role assists in obtaining and managing medical documentation necessary for military applicant processing, working closely with MEPS personnel, recruiters, and healthcare providers to ensure timely and accurate record handling. Work may be performed remotely or on-site at Headquarters AFAC, Joint Base San Antonio – Randolph (JBSA-Randolph), TX. The position requires strict adherence to Air Force, Department of Defense (DoD), and HIPAA privacy and security policies.

 

Pay: $17.75/hr

 

Schedule: Monday through Friday, 7:30 AM – 4:30 PM (local time), excluding federal holidays and government facility closures.

Responsibilities

  • Provide administrative and clerical support to AFAC and assigned MEPS locations, including relaying general instructions to applicants, directing them to appropriate sections, and making necessary referrals.

  • Obtain, organize, research, and file medical records; review for completeness, accuracy, and consistency within established guidelines.

  • Ensure timely arrival of medical records for appointments and initiate or locate patient records as needed.

  • Retrieve and provide documentation requested by healthcare providers, such as test results or unfiled medical reports.

  • Access and utilize military healthcare systems such as MHS GENESIS, AHLTA, CHCS, DEERS, and AFRISS.

  • Maintain accurate and timely updates in the Air Force Recruiting Information Support System (AFRISS) every five business days or as required.

  • Acknowledge receipt of medical document processing requests within three business days.

  • Comply with all HIPAA, Privacy Act, and DoD privacy/security regulations with 100% accuracy.

  • Complete all required AFAC, Air Force, and DoD training (e.g., HIPAA, OPSEC, Anti-Terrorism, Active Shooter, Cyber Awareness).

  • Maintain professional communication with AFAC, MEPS personnel, and the worldwide Air Force medical network.

  • Support quality assurance and reporting by tracking and submitting required performance metrics to leadership.

Qualifications

  • U.S. citizenship required; must be able to obtain and maintain a Secret Security Clearance.

  • High school diploma or equivalent required; some college or medical office training preferred.

  • Prior experience in a medical office, healthcare administration, or military healthcare environment strongly desired.

  • Working knowledge of electronic health records and military medical systems (MHS GENESIS, AHLTA, CHCS, DEERS) preferred.

  • Strong organizational skills and attention to detail, with the ability to handle sensitive information in compliance with HIPAA and DoD guidelines.

  • Proficient in Microsoft Office applications and data entry systems.

  • Ability to work independently in a remote or on-site environment and manage multiple priorities under deadlines.

  • Excellent communication and interpersonal skills, with a commitment to professional and responsive customer service.
